Talkalize SDN. BHD. ("Talkalize", "we", "us", or "our") operates Talkalize, a SaaS platform that integrates with the official WhatsApp Business Platform and Meta APIs. This Privacy Policy explains how we handle information in connection with our website and service.
This policy is intended to describe our current practices in understandable terms. It should receive legal review before it is treated as the company's final legal position or relied on for a specific jurisdiction.
1. Information we receive
Depending on how you interact with Talkalize, we may receive:
- Information provided by customers and users: name, email address, phone number, support enquiries, login and profile details, and other information you choose to provide.
- Business and account information: company name, business contact details, account identifiers, connected numbers, user roles, preferences, and configuration information.
- WhatsApp Business and Meta platform data: account and business identifiers, access or connection metadata, permissions, message-related data, and other information made available through the integrations you authorize.
- Customer communication data: customer phone numbers, contact details, message content, attachments or other content sent through the service, where a business customer uses Talkalize to manage those conversations.
- Operational messaging data: message templates, campaign and automation settings, delivery and read statuses, failures, responses, and webhook events received from connected platforms.
- Technical data: IP address, device and browser type, operating system, approximate location derived from IP where available, timestamps, referring pages, and application, security, and error logs.
- Payment and billing information: subscription, invoice, transaction, and billing details. Payment providers may process payment card or other payment details directly under their own privacy policies; Talkalize does not need to receive the full payment credentials to provide billing records.
2. How we use information
We use information to provide and operate Talkalize; connect and communicate with WhatsApp Business and Meta services; deliver notifications, templates, campaigns, automation, analytics, and customer support features; authenticate users and manage accounts; monitor performance and reliability; prevent misuse, fraud, and unauthorized access; provide support; process billing; comply with legal obligations; and maintain, troubleshoot, secure, and improve the service.
3. Legal bases and consent
Where applicable law requires a legal basis, we may process information because it is necessary to perform a contract, to pursue our legitimate interests in operating and securing the service, to comply with a legal obligation, or because you or the relevant business customer has provided consent. Where consent is the basis, it may generally be withdrawn subject to applicable law and the effect of withdrawal on the requested service. Business customers are responsible for having an appropriate lawful basis and notices for customer data they submit to Talkalize.
4. When we share information
We do not sell personal information. We may share information as necessary with:
- Meta and WhatsApp, when required to provide the authorized integration and messaging functionality;
- hosting, cloud, database, monitoring, security, communications, and other infrastructure providers;
- payment processors and billing providers;
- service providers that help us provide support, analytics, maintenance, or security; and
- authorities, advisers, or other parties where required by law, to protect rights and safety, or in connection with a business transfer.
These providers may process information on our behalf or independently where their own terms and privacy notices apply. We do not use WhatsApp or Meta data for purposes that are inconsistent with the permissions and functionality you authorize.
5. Retention
We retain information for as long as reasonably necessary for the purposes described in this policy, including to provide the service, maintain business and security records, resolve disputes, enforce agreements, and meet legal, fraud-prevention, security, or financial-record obligations. Retention periods can vary by data type, account status, customer instructions, and applicable law. When information is no longer needed, we aim to delete it, anonymize it, or securely isolate it where deletion is not immediately possible.
6. Security
We use measures appropriate to the nature of the information and the service, such as access controls, authentication, logging, secure configuration, and reasonable operational safeguards. No internet transmission or storage system can be guaranteed to be completely secure, so customers should also protect account credentials, connected systems, and access permissions.
7. International processing
Talkalize and our service providers may process information in Malaysia and other countries where we or they operate. Where applicable, we take steps required by law to support lawful international transfers and protect information during such processing.
8. Your rights and choices
Subject to applicable law, individuals and business customers may have rights to request access to, correction of, or deletion of personal information, and may have rights to object to or restrict certain processing, withdraw consent, or receive a copy of certain information. Requests should be sent to [email protected]. We may need to verify identity or account ownership before completing a request. If data is controlled directly by Meta or another business customer, you may also need to contact that controller or use its available privacy tools.
9. Children’s privacy
Talkalize is a business service and is not directed to children. We do not knowingly collect personal information directly from children in connection with the service.
10. Policy updates
We may update this policy when our service, practices, or legal obligations change. We will post the updated version on this page and revise the “Last updated” date. Continued use of the service after an update may be subject to the revised policy to the extent permitted by law.
